
Office Manager & PA Role at Quantum Denmark
Quantum Denmark (https://quantumdenmark.dk/) (QD) is the hub of a rapidly growing Quantum ecosystem in Denmark that provides office space and access to specialized laboratory facilities for development of new quantum technologies for companies from Denmark and abroad.
Currently there are companies from the USA, U.K., Asia, and Europe. Quantum Denmark also has facilities for hosting events and is located at the historic Niels Bohr Institute.
This role is essential for ensuring the smooth daily operation of the office, serving as PA to the QD staff, and supporting the tenants in QD. The position includes practical facility tasks, coordination of office services, vendor communication, assistance with events, and PA support for the QD staff. You will handle day-to-day operational needs and act as a key point of contact
for deliveries and office supplies.
Ideal for someone who enjoys creating a well-organized, welcoming workplace. This role involves daily coordination, practical support, and close interaction with the people and companies in the QD community. You will help maintain smooth operations across offices, support tenants and colleagues, and collaborate with a variety of internal and external service providers.
The role requires an outgoing service-minded disposition, reliability, strong organizational skills and judgement, and the ability to communicate clearly with many different stakeholders. While operating with a lot of independence, you need to thrive not only on your own, but when collaborating with the QD team.
Not all tasks are expected to be performed on a daily basis but some of your key responsibilities will include making sure that the QD offices are presentable and in good order to enable the companies to work in a productive environment and bring in visitors, and to support the QD staff so that they can be as productive as possible
Office & QD Team Support
- Serve as a point of contact for QD team, tenants and vendors
- Calendar management
- Coordinate all travel logistics, including flights, hotels, trains, and car rentals, as well as occasional coordination with DFM.
- Tenant invoice management
- Order lunch for meetings
- Support visits to Quantum Denmark
- General admin support to QD team
- Ad hoc
Office Services
- Daily maintenance of the coffee machines and ensure that the kitchens, dishwashers, and all common areas are presentable at all times
- Handle weekly orders from Nemlig.com
- Order office supplies
- Dispose of cardboard
- Maintain inventory of items with lead times in mind
- Prepare and install office name signs for new tenants
- Set up signage for flex desk areas
Events, meetings and conferences
- Arrange chairs and reorganize the common room
- Coordinate catering, and prepare coffee etc. for meetings
- Take photos and support the QD staff on social media management for Quantum Denmark as needed
- Manage QD booth at conferences, logistics and on-site support
Qualifications and Skills
A candidate should possess the following:
Required Qualifications
- Fluent in English
- Service and support mindset
- Experience from administrative work or the service industry
- Familiar with Danish work culture and etiquette of working with international visitors and companies
- Successful track record working in a tightknit team
- Experience with HubSpot
Necessary Skills
- Organizational and time management skills
- Exceptional attention to detail

- Well versed in setup and use of Microsoft Office products
- Hands-on experience with office machines and equipment
