We are looking for an energetic and ambitious Personal Assistant to be one of the driving forces in the administrative team of a large new research center. The successful applicant should be motivated by working closely with researchers and administrative staff in an inclusive and highly collaborative environment with ambitions to establish the center as an internationally recognized nucleus for cutting-edge research.

About us

The center will be embedded across the Faculty of Science and the Faculty of Health and Medical Sciences. It will be physically located in newly refurbished offices and laboratories on Nørre Campus at the University of Copenhagen. The Center will collaborate with local, national, and international partners from academia and the industry to deliver world-leading research and training in fundamental and applied research within the specific field.

The center will be launched on 1 August 2025.

The position

As PA you will assist the Center Director, the Management Teams, and Center Manager and provide general administrative support to the Center’s researchers. Your tasks will include – but are not limited to:

  • Supporting the Center Director and Center Manager, and liaising with key individuals to advance their work, acquire information, and action tasks.
  • Organise meetings, conferences, seminars, workshops, events, etc.
  • Booking venues, travel, accommodation, meals, refreshments etc. for Center staff, visitors, and meetings as required.
  • Managing the Center Director’s calendar and, where appropriate, responding to emails on his behalf.
  • Provide high-quality support for meetings with responsibility for the collation and distribution of papers; drafting agendas, producing minutes and action registers.
  • Gather, collate and present information for projects and initiatives as required undertaking best practice and presenting data in formats with the end users in mind.
  • Updating and archiving internal working documents, including sensitive scientific and financial reports.
  • Liaise effectively with Center/Departmental/Faculty/UCPH staff as appropriate ensuring that all enquiries are dealt with or escalated efficiently and effectively.
  • Conducting administrative tasks related to onboarding of new researchers (PhD and post-doctoral) who often come from abroad.
  • Helping to coordinate teaching and other broader UCPH-facing activities of Center staff with the relevant Departments, Faculties, and Centers.
As part of performing the mentioned tasks, you will liaise with the Center Director, the Center Management Teams, researchers, and administrative teams within the Center, in the two host departments, and the centralised administrative units across the University of Copenhagen (UCPH). This will include for example: UCPH Finance, Campus Services, HR, Communication, and IT; equivalent groups at the external Spokes and Strategic Partners in Denmark and abroad.

Our expectations

We expect that you will:

  • have a relevant office education (in public administration, or accounting), or – preferably – a Master’s degree.
  • speak and write English fluently as the University of Copenhagen is an international workplace.
  • have an ability to manage data and information electronically through databases and spreadsheets.
  • have excellent collaborating and organising skills and can keep a good overview, also during busy periods.
  • are thorough, conscientious, and able to find solutions and get things done on time.
  • are accommodating, service-minded, and flexible.
Although not a strict requirement, it would be an advantage to have knowledge of the University of Copenhagen and its administrative systems such as WorkZone, Indfak, RejsUd, and Obvius CMS.

Salary and employment conditions

Employment is based on the Collective Agreement between the Ministry of Taxation and the Public Employees' Organisations – The State Sector (OAO-S Collective Agreement) and on the Circular on the Organisational Agreement for Office Clerks, Laboratory Technicians, and IT Employees (HK). Placement will be in salary group 3.1 However, if qualified (academic degree), the position is as an academic officer in accordance with the Collective Agreement for Academics in the Danish State. Remuneration in accordance with the AC collective agreement is determined by seniority. It will be possible to negotiate additional supplements based on qualifications.

The position is full-time and the average weekly working hours are 37 hours.

Your employment will be at the Department of Biology, the Faculty of Science, the University of Copenhagen.
