About the Role

Are you structured, detail-oriented, and motivated by maintaining high standards in corporate governance?
We are looking for a structured and detail-oriented Board Secretary to join our team in Vejle.

The position is part of a new and growing department of Board Secretaries that is being built to strengthen governance and administrative support across a range of companies and investment funds in Europe.

In this role, you will work closely with management and colleagues to coordinate Board and shareholder meetings, prepare documentation, and help ensure that the companies and funds we support remain compliant with legal and governance requirements.

As a Board Secretary, you will be assigned several companies or funds and will handle their ongoing administrative and governance activities throughout the year.

Key Responsibilities

  • Coordinate and schedule Board and shareholder meetings in collaboration with management.
  • Prepare and distribute meeting materials, including agendas, minutes, and resolutions.
  • Support annual compliance tasks, including policy reviews, and corporate recordkeeping.
  • Maintain accurate and well-organized documentation in our governance systems (AdminControl and monday.com).
  • Work with management and colleagues to ensure all governance and compliance requirements are met on time.

Your Profile

We are looking for someone who:

  • Holds a relevant degree in Business, Law, or Administration.
  • Has experience with corporate administration, company secretarial work, or governance support.
  • Speaks and writes English fluently (professional working proficiency is required).
  • Is organized, detail-oriented, and comfortable managing multiple deadlines.
  • Enjoys a structured role with administrative precision and coordination.
  • Is familiar with digital governance tools (experience with AdminControl or monday.com is an advantage).
  • Is willing to travel occasionally to attend Board or shareholder meetings in Denmark or elsewhere in Europe.
