You can contact our data protection officer in the following ways:

User profiles for employers

To log in to Jobindex, you must have a user profile – what we at Jobindex call a company user profile. In order for us to create a user profile, we need at least one email address. In addition, we can link the name, company name and telephone number to your company profile if you provide it.

You must be registered as a user in order to receive advertising statistics, which we at Jobindex call job reports, and you must have a user profile in order to be able to access the Jobindex CV Database, post ads on Jobindex, use Jobindex QuickApply or register a job site with Jobindex's internet robot. You can only be a user for one company at a time. If you don't have a user profile, we will automatically create a profile for you when ads are placed.

You can start the creation of one or more of your colleagues as users, and one of your colleagues can start your creation as a user. This is done by providing an email address, to which Jobindex subsequently sends a confirmation and welcome email, after which you/they (if necessary) complete the creation of your/their user profile.

In relation to the deletion of user profiles, we delete blocked users after five years. In addition, we delete inactive users after two years. In such cases, the term 'inactive users' refers to users who have not logged in for the past two years, who have not been contacts in adverts for two years, who have not received any reports (statistics) for two years, whose emails have bounced back for two years and who do not subscribe to our top list or a newsletter.

If you wish to be deleted from our database, you can write to dpo@jobindex.dk, who can inform you about the personal data rules and your options.

CRM information

As long as you have an ongoing customer relationship with Jobindex and are registered as a contact person, we store your data in our CRM system in order to serve you with our solutions/products as well as make and invoice Sales.

In this connection, we store general personal data such as your name, email address, company address and telephone number, incl. your company affiliation.

If your customer relationship with Jobindex is terminated or if we are made aware that you are resigning from your position, we will then store your data for five years plus the current year in accordance with the rules for bookkeeping and accounting under commercial law. Your personal data will then be anonymised, which means that your telephone number/numbers, email address, personal name and any personally identifiable notes will be deleted.

If you wish to be deleted from our CRM database, you can write to dpo@jobindex.dk, who can inform you about the personal data rules and your options.

GetAccept (digital signature)

When you receive an agreement/offer from Jobindex for your approval, you receive it via GetAccept. GetAccept is an e-signature program/tool through which you can send, view and approve agreements/offers with a digital signature.

In order to make the agreement legally binding, when you open the agreement/offer from Jobindex, GetAccept collects a range of data, including personal data, about how you interact with the offer/agreement from Jobindex, as well as general personal data such as the personal name, email, telephone number and IP address of you/the person approving the agreement/offer. GetAccept pulls personal data etc. from Jobindex's CRM system and these are always processed according to applicable rules, including the rules governing personal data.

Customer Satisfaction Surveys (NPS)

Once you have made a transaction with Jobindex, you may receive an NPS customer satisfaction survey from Jobindex, where you will be given the opportunity to rate your experience with us. The survey is sent via our supplier nps.today and is based on the data we have about you in our CRM system, including general personal data such as personal name, email and (company) telephone number.

The result of the survey is shared, via Jobindex's CRM system, within Jobindex's sales organisation in general and with your contact person at Jobindex and their manager specifically so that they can contact you if your answers give cause to do so.

Personal data is always processed in accordance with applicable rules, including the rules governing personal data (GDPR). For this specific survey, personal data will be completely anonymised from nps.today after three years of inactivity from participants, or after 60 days at the latest if Jobindex chooses to end the collaboration with nps.today. Storage of data in Jobindex's CRM system complies with applicable rules.

Contact forms

If you fill in a form in order to be contacted by Jobindex, we will ask you for your contact information (name, phone number and company). We process this information in order to contact you by phone.

If you become a customer of Jobindex - or are already a customer - the information from the form is stored in our CRM system in order to serve you with our solutions/products as well as make and invoice Sales. Information in the CRM system is deleted according to the rules described in the section "CRM information".

If you sign up for newsletters etc., Jobindex saves your email address and name.

If you are registered as a contact person in our CRM database, the registration is linked to the data stored about you in the CRM database.

You can unsubscribe from newsletters, surveys, campaigns etc. at any time by clicking "Unsubscribe" at the bottom of the email.

Jobindex uses data from the registration and the information about you in the CRM database to target the content of the newsletter so that it is as relevant for you as possible. When you receive newsletters etc., we record whether you open the email and when (date and time) as well as which articles you click, and whether this is done from a mobile device or a browser, and operating system. We use this information to analyse which articles you click through to and use this information to design future newsletters, for example the order in which stories are presented in the newsletter. The purpose is to be able to deliver the newsletter and bring you news that is as relevant as possible, as well as to market Jobindex's surveys, events, etc.

Your data will be stored by Jobindex A/S and our supplier of the email distribution system, e-Marketeer.

Download reports and analyses

If you download a report or analysis, we may sometimes ask you for your contact information (email address, name, telephone number, job title and company). We process this information in order to contact you by telephone to discuss the obtained report.

Participation in events

When you register for an event or webinar, Jobindex collects information about your participation in the form of your contact information (e.g. email address, name and telephone number). We process this information with the primary interest of being able to register participants, administer the event and send out relevant material, evaluation forms, etc.

The contact information is stored in the registration system for five years plus the current year, after which it is deleted.

It may also happen that situational photos are taken during the event for use by Jobindex's own media, e.g. newsletters and social media. When participating in a webinar/hybrid meeting, the event is recorded, and if you choose to participate with a microphone/video, you must be aware that you will be included in the video.

Participation in competition at the Træfpunkt HR fair

If you participate in our competition - by letting us scan the code on your badge - you consent to Jobindex sending you newsletters. Jobindex will store your email address for the newsletter subscription.

You can unsubscribe from newsletters, surveys, campaigns etc. at any time by clicking "Unsubscribe" at the bottom of the email.

Information regarding your rights

In relation to our processing of data about you, you have a number of rights under the General Data Protection Regulation. If you wish to exercise your rights, please contact us.

Right to view data (right of access)

You have the right to access the data concerning you that we process, as well as some additional data.

Right to rectification

You have the right to have inaccurate data concerning you corrected.

Right of erasure

In special cases, you have the right to have data concerning you erased before the time that we would usually erase it.

Right to limitation of processing

In some cases, you have the right to have the processing of your personal data limited. If you have the right to have processing limited, going forward we may only process the information – apart from storage – with your consent, or for the purpose of establishing, enforcing or defending legal claims, or to protect a person or important public interests.

Right to object

In some cases, you have the right to object to our lawful processing of your personal data.

You can also object to the processing of your information for direct marketing.

Right to transmit information (data portability)

In some cases, you have the right to receive your personal data in a structured, commonly used machine-readable format and to have such personal data transferred from one data controller to another without hindrance.
