We are seeking a highly organized and proactive Planner to lead our local planning and performance efforts. This role is critical in ensuring the smooth and efficient execution of our operations. The ideal candidate will possess exceptional organizational and time management skills, a passion for detail, a strong service mindset, and a thorough understanding of our Key Performance Indicators (KPIs). The Planner will play a key role in monitoring SLAs and contributing to continuous improvement efforts.

Key Responsibilities:

  • Manage and track work orders, ensuring timely completion and adherence to Service Level Agreements (SLAs).
  • Create and distribute daily task lists, following up with team leaders on progress to ensure accountability and efficiency.
  • Contribute to the creation of reports for management related to work order completion, project performance, and KPI achievement, ensuring that data is accurate and actionable.
  • Prepare meeting agendas, take minutes, and follow up on action items related to planning and performance, ensuring all relevant information is easily retrievable.
  • Actively participate in internal communications and digital document management, ensuring that information is accessible to all team members.
  • Monitor SLA performance and identify areas for improvement, proactively suggesting solutions to enhance operational efficiency.
  • Analyse work order data to identify trends and potential issues, providing insights to team leaders and stakeholders.
  • Collaborate with team leaders and other stakeholders to optimize workflows and improve efficiency.
  • Assist the ground team with administrative tasks as needed, providing support to enhance their operational effectiveness.

Core Competencies:

  • Planning & Coordination: Proven ability to plan, track progress, prioritise resources, and execute tasks efficiently. Strong organisational skills with meticulous attention to detail.
  • Time Management: Ability to manage time effectively, meet deadlines, and handle multiple tasks simultaneously.
  • Analytical Skills: Ability to analyse data, identify trends, prepare concise reports, and draw actionable insights.
  • Communication: Excellent written and verbal communication skills, with the ability to interact professionally with all levels of the organization.
  • Technical Proficiency: Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Experience working with Property Management Systems (PMS) or other relevant systems is a plus.
  • KPI Understanding: A strong understanding of Key Performance Indicators (KPIs) and their role in measuring operational performance.
  • SLA Knowledge: Understanding of Service Level Agreements (SLAs) and the ability to ensure adherence.

Qualifications:

  • Proven experience in a similar administrative and/or planning role.
  • Strong understanding of administrative processes.
  • Excellent communication, interpersonal, and organisational skills.
  • Ability to work independently and as part of a team.
  • Demonstrated ability to maintain confidentiality.
